Fearing that I might be stoned if I delayed any longer (I read The Lottery in high school… I know mob justice when I hear it pounding at my webserver), here’s the all new kGTD 0.83 release. Smell it. I made it smell like new car. Mmmmm. Shake it. I made it sound like an unopened box of cracker jacks, a toy surprise still inside. Except in this case, it’s no toy, it’s lots of new code and, invariably, new bugs. But I hope that the utility outweighs the bugginess.

Note: If you are not feeling up to experimentation, chill for a bit and see where the chips fall after a couple of days. If you are more of a “let’s boldly go” type, then by all means, beta-away.

But first: Big, big thanks go the estimable Merlin Mann, he of wit, insight and 43 folders. Merlin was a hard core alpha tester on this release and anything un-buggy about it is due to his continued hammering away at it. He gave much time and effort to this project and you should give him a big thankful hug and cigar next time you see him. And to those of you out there that also tested early alphas of this version: much appreciated.

To get started, take a look at the new intro video. It’s just an overview but should give a feel for some of the new features. Also: OmniOutliner Pro 3.6 Beta is required for this release!

Note also there is a new website. Any problems on it, please shout. Oh, and when you are done shouting, email or post, since I really can’t hear you shouting from that far away. The old forum items have been “archived” into an old forum section, but they are still there. I’m starting a new forum since many of the post issues will have either been dealt with or mooted by this new release.

What’s new in this release? See the release notes on the release page for full details, but to summarize:

  • Everything syncs: all changes to all columns are now synchronized across all views of a task (Projects/Actions/iCal)
  • Deletions now handled with the good old delete key on your keyboard
  • Singleton tasks section, now a full citizen
  • Better QS action… and fancy “task shorthand” to make it easy to send a task to a specific context/project
  • Task aging

And oh so much more. And did I mention new bugs? They are there, but together we will get rid of them, I’m sure. See the “Report Bugs or Issues” section for known problems and to submit new issues or feature requests.

Steve, the QS script should be installed automatically. You’ll need to quit and reopen QS to initialize it, though, and you might need to recompile the script to ensure it works with the current build of QS (“when betas collide”).

See the installation instructions in the user guide for tips on how to recompile QS.

Copy the Quicksilver script

Copy the Quicksilver script to a new location, and then replace the following lines:

That’s it. Now you can activate LaunchBar, type an abbreviation for the script (I use ki), hit the space key to enter script parameter pass mode, enter you task and hit Return to pass the string directly to kGTD’s inbox.

I have a modified version of

I have a modified version of the QS script that works with LaunchBar. It contains code for both systems (the QS version commented out, just switch the comments if you use QS).
More substantially, it contains several feature enhancements. Namely:
1. Prompt for context
2. Prompt for project
3. Add current selection to Notes
Otherwise it’s behaves the same as the standard Kinkless version.

Unfortunately it’s not going to survive a cut and paste here. I’m in the middle of putting up a new site for my software, but in the interests of expediency, you can download it here. Ethan, feel free to put it in the Kinkless package if you think it’s useful.

I’ve updated the script

I’ve updated the script (and now have a Kinkless userid :-). The script now integrates into the >@ syntax better, so that if you pick a context or project from the menu, the task is correctly filed. Also it has a fix for the bug in the original script where Contexts weren’t always best matched. E.g. if you said “House” it might get filed in “Lighthouse” rather than “House”. This version prioritizes matches by full, first letters, last letters, middle.

Chris, I’ll detail more on the singletons feature soon and will be adding in new features in this area as well. Basically, a (kind of lame) way to get kick started there is to make a task in any project or context (or inbox for that matter), and in the “project” column select “!Single Tasks”. Sync and kGTD will create a new “!Single Tasks” project (this name can be changed in kGTD settings). You can also make any project a “Singletons” project by appending an “*” (asterisk, no quotes) to the end of it’s project name. Each task therein becomes a singleton next action and receives a slightly different na color (so you know it’s not a project na)…

Followed the upgrade instructions and it ran as smooth as silk.

Loving all of it. And finally beginning to explore iCal syncing. I have a lot of contexts so a flood of calendars. Let’s see how that goes with my iCal .Mac sync. It might make it too much, but I can always have it feed one calendar.

The video was very good. Would love one focussing on iCal and dates etc. The various options regarding input and so on, I saw ‘next week’ as valid… hmmm.

Perhaps a video fleshing out use of the QS script. Is there ways you can do more than just input text? Such as indicate a context and project? Or date?

Just wanted to let you know that I appriciate your efforts here. I’m new to this GTD thing but having used Palms, iPaqs, Mindmaps, Franklin Planners and Filofaxes and having been dissappointed with them all. In the end I settled on OO pro and continued to tinker with it. This I have no given up since your scripts and templates now do everyting they way I’ve always wanted it to, sort of. The only thing to get rid of is the Sync and then you and OO have one intuitive gem of a tool. They should put you on their payroll.

What I will try tomorrow is if I can dump todo’s in my Blackberry, sync it thru iCal and get it show-up in kGTD. I guess that I will have to script something there since Pocketmac puts all BB generated todo’s in Pocketmac. But I’ll let you know. That will close an other loop for me.

Well I’m gobsmacked. Effing beautiful. Installation so silky… First sync you do does the installation for you, luvly. Everything goes so.much.faster.now, I used to think this was a genius job of Applescripting but that you had to accept that it was beachball slow on occasion. But now, it’s amazing.

And the Quicksilver interface is.. quicksilver. Love the syntax. Getting to the holy land of seamless integration.

For me, the whole deal about GTD is getting things off your mind and out into a trusted place. Then you can be where you are and do what you’re doing. But you have to be able to get things there easily, and trust it. It’s no small thing to achieve those two aims. Just great software.

Oh but, the new vid about usage… it’s a shame to lose that first vid, that was so helpful. The new vid really assumes you know what the whole thing is already, it just goes too fast :). Newbies would be bewitched, but bothered and bewildered. I thought your original vid was just great, teaching people how on earth a software program could implement GTD philosophy. I would suggest just remaking that original vid, but in the new framework, and then adding more vids about uberuser features. But don’t lose the quality of that first vid… it was the perfect bridge from book to software.

Easiest way to assign keyboard shortcut to Sync anad Twin buttons is to assign keyboard shortcuts to the Sync and Twin scripts. You can do this easily by using FastScripts:

One problem I am having and can’t resolve thru carefull re-reading of installation guide, forums and bug reports and a number of reinstalls.

I am upgrading from kGTD 0.75 with OOP 3.6 and OSX 10.45 running. When installing from kGTD 0.83.0 Installer.pkg installation creates new folder “1” at the top level of the hard drive. The various scripts are in their correct folders and subfolders within “1”.

When I attempt to mount the scripts in OOP they are not shown in the Customize Toolbar window. If I move the scripts into the correct folders in the Library folder they show up in Customize Toolbar and I can drag them into the OOP file. When I then attempt to Sync however I get an Applescript error

AppleScript reported the following error: Folder Macintosh 120:Users:davidcol 1:Library:Application Support:kGTD:Includes:Includes.scpt wasn’t found.

Kinkless has grown a bit and I have some external files that support it. Additionally, there are some cases where the installer is failing that I’m working to fix. I’ll post a user guide page detailing a manual installation method… email me in the time being.


A few people have reported

A few people have reported crashes while upgrading to 0.83. If you hit this I would love to get a copy of the backup document that KGTD created before the upgrade so that I can run this through a debugging copy of OO 3.6 Without this, it will be hard for us to fix this crash.

Installed kGTD for the first time. Following the video, created my first doc by doing a sync (went fine), deleted the instructions and created a project and a Mac action. When I now press “sync” I get this message:

    **The script 'Sync' could not complete**

    AppleScript reported the following error:

    There was a problem writing kGTD preferences.

As an purchaser of now three Omni products, I can attest these guys are great. Excellent products and fabulous support, a really personal service and endlessly improving software.

Craig. Molto Grazie… Merlin’s site is actually in my daily Omniweb workspace (ahem) but in my excitement over the Kinkless RSS announcement, I went, I installed and I posted without Merlin’s guidance… oh foolish me.

I am stumbling my way into the iCal usage. Which needs be a little careful I think.

I changed my contexts in the KGTD file, I merged Errands and Chores into a, um, Errands/Chores context by renaming Errands the new name and reassigning the Chores tasks into it. When I synced again, I found that I now had three calendars; Errands and Chores and the new Errands/Chores calendars were all present. So I set about deleting Errands and Chores calendars and then spent a while wondering if I had deleted elements in the KGTD file once I synced… Which I would have, if I hadn’t ensured that the various elements in the orginal KGTD contexts weren’t reassigned to the new Errands/Chores context. Adding a new project as a Sub-Project causes much bad mojo (at least in my file.) After adding a new project as a Sub-Project and Syncing, all of the items for all of the other Sub-Projects in the same Project disappear. Wow. The word “Project” is starting to look funny.

Also, I seem to have no “Next Actions” setting, no matter what I put in the preference… Adding it manually has no effect either.

Nitpicks, really. Thrilled with the whole thing.

I’m not eager to install betas of OmniOutliner 3.6, at least not at the moment. Due to a recent drive failure (and subsequent .Mac backup failure), I need to re-install some of the KGTD components. Can you point me toward the 0.75.x installer?

I really miss the rebuild function.

During a sync including iCal it stopped with an error message, leaving my kGTD as well as the iCal task list half empty. Since then I try everything getting both to work together again. Using a kGTD backup document doesn’t work because the deleted tasks in iCal which were removed during the erratic sync now erase the tasks in the kGTD backup document. If I delete all iCal tasks and sync, then all of these will be deleted in kGTD. I find no way of building up the iCal task list from scratch with my kGTD (backup) tasks.

any ideas anyone?

Rebuild can be forced by

Rebuild can be forced by going into your actions section and deleting all tasks in the actions view (NOT the projects view!). Then hit sync and your iCal tasks will be scrubbed automatically before the full sync.

What are the rules that would cause kGTD to delete items coming from iCal?

If I am in the Projects view and I create a new project and set its context to “Work”, it would be nice if all sub-tasks under that project also had their contexts set to “Work” by default. I could still change individual tasks to “Email” or “Errands” or whatever if I wished.

  • I changed the “Office” context to “Work.”
  • In my iCal I had a “Work” calendar and some events/to-dos associated with it.
  • When I hit “sync” from OmniOutliner, my “Work” calendar/to-dos got obliterated and replaced with the stuff from kGTD; they weren’t actually synchronized as I expected.

Luckily there was nothing too important in there, but people may want to back-up their iCal before attempting this, and check for similar naming collisions. :)

I see the same bevaviour on kGTD 0.83.0 and OmniOutliner Pro 3.6.1 beta 3.

Just an idea: Is it possible

Just an idea: Is it possible to have a “Today” header in the left nav that indicates all items by context that are due for that day? I realize that this is a bit redundant with “Next Actions” (which doesnt show up for me on this latest release), but it would be terrific to have a sorted view that indicates all your due actions for the current day—a daily hitlist if you will.

BTW: Great job Ethan, this is a FANTASTIC release!

you are (too) successful, admit it!

I don’t know what else you are doing for your money, I am sure you are a busy man. But anyhow, here is what I think: Charge 15-35$ for kGTD (or for online access to the documentation, or a special OO version/extension that only works with kGTD - to be crack-proof), get a secretary, make a deal with Omni about a percentage of each copy of OOpro that is sold because of kGTD (they love kGTD anyway) and spend some time on the documentation, new feature requests and future compatibility with iCal3. Everyone will love you for that and will be happy with kGTD now and confident to be able to use it in the future and you will get what you are worth. Like now it is all hanging up in the air for a bit too long. Don’t leave us out there in the dark!

by the way, thanks for the wonderful product. kGTD really rock, keep it rocking!!!
